How to Manage One WhatsApp Number with Multiple Staff

A practical guide to shared ownership, assignments, permissions and customer context for Kenyan WhatsApp teams.

The problem with passing one phone around

When a business number lives on one handset, customer service depends on who holds it. Staff cannot see ownership clearly, managers cannot measure unresolved work, and customers repeat themselves when another person takes over.

Create one shared operating queue

Bring conversations into a shared inbox where each request can be assigned. Keep customer notes, quotations, invoices, payment status and jobs beside the conversation so the next staff member sees the full history.

Define ownership and access

Use teams or departments for sales, support, accounts and delivery. Give every conversation an owner and use role-based access so staff can collaborate without exposing unrelated customer or finance records.

Set simple response rules

Agree who handles new messages, when a request is reassigned, how internal notes are used and when a conversation is considered resolved. Managers should review unassigned and overdue conversations daily.

Practical checklist

Use this before you go live.

  • Connect the business number
  • Create staff roles
  • Define assignment rules
  • Use internal notes
  • Review unassigned chats
  • Keep payment and job context visible
